Employer Info One of the global multinational industrial companies would like to hire a highly motivated, proactive, well-organized and smart person to fill its Office Manager position for its Baku head office. In addition to Office Management responsibilities, the position will be in charge also of Customer Service and Client Relationship Management issues. The ideal candidate will be self-driven, always striving to overperform and looking for new ways to improve office efficiency. The position is based in Baku, and will report to the expatriate Managing Director. Key Responsibilities: • Organize and maintain the office: manage its day to day activities efficiently; • Manage purchase order entry, and stock follow-up; • Obtain order confirmations from suppliers; • Follow the order’s status; • Follow up on customs clearance phases; • Ensure the smooth running of main office administration functions; • Develop and update administrative systems to make them more efficient; • Manage phone calls and correspondence (e-mail, letters, packages etc.); • Manage agendas/travel arrangements/appointments, etc. for the management; • Manage invoices and order supplies; • Manage the office budget; • Provide general support and guidance to visitors, guests and customers; • Prepare administration and other documentation of various nature as required by the management; • Assist with organizing events when necessary; • Support Managing Director in various ad hoc duties, as business may require. Requirements: • Azerbaijan citizen; • University degree; • Advanced English, both verbal and written, in addition to native Azerbaijani. Knowledge of Turkish and Russian is a plus; • Minimum 2-3 years of experience in a similar role. Experience in working with international company is a plus; • Proficient in MS Office (Excel, Word, Power Point, Outlook); • Good interpersonal and communication skills, both verbal and written. • Good document drafting skills; • Strong time management. Strict respect of deadlines; • Proactive mind and fast learner; • Strong attention to details. Strong memory and follow-up skills; • Strong observation and analytical skills; • Ability to work efficiently without direct supervision. Self-motivated person; • Multitasking skills in different areas. Strong organizational and planning skills; • Adaptive: the ability to take on new tasks with little notice or instruction; • Integrity and discretion in handling confidential information; • High corporate business ethics and culture; • Positive and ‘never-give-up’ attitude.
